What this policy covers

This policy explains what personal information we collect when you use this website, why we collect it, how long we keep it and what rights you have over it. It applies to this website only. If you become a customer, the contract we agree with you sets out how we handle information about your business, your products and your customers' orders.

Information we collect

We only collect personal information that you give us or that is needed to run the website safely.

Information you give us

  • Contact form: your name, company name, email address, telephone number and your message.
  • Get started form: your name, company name, email address, telephone number, and details about your business such as your website, the platforms you sell on, your order volumes and the services you are interested in.
  • Callback requests: your name, telephone number, email address and the day and time you would like us to call. If you choose to tell us more, we also collect your company name, website, order volumes, the services you are interested in, how your fulfilment is handled today and any notes you add.
  • Email and phone: anything you tell us when you contact us directly.

Information collected automatically

  • With form submissions: the IP address the form was sent from and the page it was sent from. We record these to protect the forms from spam and abuse.
  • Server logs: our hosting provider keeps standard web server logs, which include IP addresses, browser type and the pages requested. These are used to keep the website secure and running.
  • Cookies: essential cookies that make the website work are always on. Analytics cookies are only set if you accept them in the cookie banner. Our cookie policy lists them all.

How we use your information

  • To reply to your enquiry and talk to you about the services you have asked about.
  • To call you back at the time you requested, and to confirm or rearrange that call by email or phone.
  • To prepare a quotation or proposal if you ask for one.
  • To keep the website and its forms secure and free from spam.
  • With your consent, to understand how the website is used, through Google Analytics.
  • To meet our legal obligations, including as a business registered under the UK Fulfilment House Due Diligence Scheme.

We do not sell your information, and we do not use it for automated decision-making or profiling. We will only send you marketing if you have asked for it, and you can ask us to stop at any time.

Our lawful basis

Under UK data protection law we need a lawful basis for using personal information. We rely on:

  • Legitimate interests: responding to enquiries, arranging callbacks, and keeping the website secure. We have considered these interests against your rights and believe they are what you would reasonably expect when you contact a business.
  • Taking steps before a contract: where you have asked us for a quotation or to discuss becoming a customer.
  • Consent: where you have opted in to receive marketing from us, or accepted analytics cookies. You can withdraw consent at any time.
  • Legal obligation: where we have to keep records to comply with the law.

Who we share it with

We share personal information only with the providers we need to run this website and to respond to you:

  • Our website hosting provider, which stores the website and its database.
  • Our email provider, which delivers the emails we send you, including callback confirmations.
  • Element Seven, the agency that builds and maintains this website, who may see personal information while supporting it.
  • Google, if you have accepted analytics cookies. What it receives and how it is used is described in our cookie policy.

Each of these providers acts on our instructions and is bound by a contract that protects your information. We will also share information if the law requires us to, for example with HM Revenue and Customs or the police.

Your information is stored in the United Kingdom or the European Economic Area. If any provider we use moves information outside those areas, we make sure it is protected by safeguards recognised under UK law.

How long we keep it

  • Enquiries and callback requests: up to 24 months after our last contact with you, so that we can pick the conversation back up if you return.
  • Customers: for the length of our contract with you and for six years afterwards, to meet our accounting and legal obligations.
  • Form security records and server logs: up to 12 months.

When we no longer need information we delete it securely.

Your rights

You have the right to:

  • Ask for a copy of the personal information we hold about you.
  • Ask us to correct information that is wrong or incomplete.
  • Ask us to delete your information, where we no longer have a good reason to keep it.
  • Ask us to stop or limit how we use your information.
  • Object to us using your information where we rely on legitimate interests.
  • Receive the information you gave us in a format you can take elsewhere.
  • Withdraw consent at any time where we rely on it.

To use any of these rights, email us at operations@thedistributionsolution.co.uk or write to the address above. We will reply within one month. We may ask you to confirm your identity first so that we do not give your information to someone else.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to deal with your concern first.

This website is served over an encrypted connection. Form submissions are stored in a database that only authorised staff can access, protected by individual logins. We limit access to personal information to the people who need it to respond to you.

This website links to other websites, including the sales platforms we integrate with and our social media pages. We are not responsible for how those websites handle your information. Please read their privacy policies.
