How can we help?

Answers to the questions we get asked most about fulfilment, shipping and working with TDS. If yours is not here, send us a message and a real person will reply.

Getting started

What happens between first contact and your first order going out.

How do I get started with TDS?

Fill in the short Get started form or request a callback. Tell us about your products, the channels you sell on and roughly how many orders you ship, and we will come back with a plan and pricing. Once you are happy, we connect your store, agree how your orders should be packed and book in your first delivery of stock.

Is there a minimum order volume?

We do not publish a fixed minimum. We work with brands at very different stages, from a few hundred orders a month to many thousands, and our pick and pack fees fall as your volume grows. The Get started form asks for your order volumes so we can tell you straight away whether we are the right fit.

How long does it take to get set up?

Connecting a store to our system is usually the quick part. The timeline is mostly set by how soon your stock can reach us and whether your products need barcoding or repackaging on the way in. We agree a start date with you during onboarding and keep you posted as your stock is booked in.

What information do you need from me?

A list of your products with SKUs, barcodes, sizes and weights, the sales channels you want connected, how you would like orders packed, and a realistic picture of your order volumes and peaks. If you do not have all of this to hand, we will help you pull it together.

Am I tied into a long contract?

The terms are agreed with you before anything ships and set out plainly in writing. Ask us about contract length and notice periods when we talk through your plan, so there are no surprises later.

Can I visit the warehouse?

Yes. We are at Kilwee Business Park in Belfast and we are happy to show you around. Get in touch to arrange a time.

Storage and goods in

Sending stock to us and how it is looked after once it arrives.

How do I send stock to you?

Once your account is set up, you let us know what is coming through our system, then deliver it on pallets or in cartons during our opening hours. Our goods in team count and check every delivery against what you told us to expect and book it into stock, so what you sent is exactly what shows on the shelf.

How is my stock stored?

In whichever format suits the product: full pallet storage for bulk stock, shelving for cartons and small pick bins for fast-moving lines. Every location is barcoded and tracked in our warehouse management system, so your team can see where stock is and how much is left at any time.

How is storage charged?

Storage is charged per cubic metre, and the rate depends on the nature of your products and the space you need. You only pay for the space you use, so it flexes as your stock levels rise and fall. See the pricing page for how each charge works.

Is my stock secure?

Every packing area is covered by CCTV, every pick is barcode scanned and every movement of stock is recorded in the system. We are also registered with and regulated by the UK Fulfilment House Due Diligence Scheme, which sets standards for how fulfilment houses handle goods.

Can you cope with seasonal peaks?

Yes. Because you are not tied to a fixed unit or your own staff, storage space and picking capacity can flex up for busy periods and back down afterwards. Tell us about known peaks such as Christmas or a product launch and we will plan for them with you.

Orders, picking and packing

What happens from the moment a customer places an order.

How are orders processed?

Orders come into our system automatically from your connected sales channels. Our team picks each item by barcode scan, packs it to your instructions, prints the carrier label and hands it to the carrier. Tracking details are sent back to your store so your customer is kept informed.

What is the cut-off for same-day dispatch?

We agree a daily cut-off with you when you join, based on the carriers and services you use. Orders received before the cut-off on a working day go out that day. Our warehouse operates Monday to Friday, 8:00am to 4:30pm.

How do you make sure orders are accurate?

Every order is checked twice by barcode, once at picking and again at packing, and every packing area is on CCTV. If something ever does go wrong, the footage and the scan history let us find out exactly what happened and put it right quickly.

Can you use my branded packaging?

Yes. We can pack your orders in your own branded boxes, mailers and tissue, or supply robust recyclable packaging ourselves. Packaging is charged per item, so you only pay for what is used.

Can you add inserts, flyers or gift messages?

Yes. Inserts and flyers can be added to every order or only to orders that meet a rule you set, and gift messages can be printed and included where your store passes them through. Tell us what you need and we will set it up as part of your packing instructions.

Do you offer kitting and bundles?

We do. Bundles, subscription boxes, multi-packs and repackaging are assembled here and charged per project, so multi-item products go out as one pick with the right packaging every time. See our kitting service.

Shipping and delivery

Where we ship, who carries it and why Belfast makes a difference.

Why does shipping from Northern Ireland matter?

Since Brexit, Northern Ireland sits inside both the UK and EU goods markets. Ship from Belfast and your orders reach Great Britain, Ireland and the European Union without customs paperwork, delays or charges. One warehouse covers every market, with no need to split stock or open a second location. Read more on our Why Northern Ireland page.

Which carriers do you use?

We work with all the major carriers, including Royal Mail, Whistl, DHL, DPD, Parcelforce, An Post, UPS, FedEx and The Pallet Network for larger consignments. We match the service to the destination, the parcel and the delivery promise you make to your customers.

Do you ship outside the UK and EU?

Yes. We act as your 3PL for international orders beyond the UK and EU, with the right customs documentation prepared for each destination.

Is next-day delivery available?

Next-day services are available on most routes within the UK and Ireland, and express options exist for Europe and further afield. What is possible depends on the carrier, the destination and your cut-off time, so we will confirm the options for your products when we set you up.

How is shipping charged?

Shipping is charged per shipment at the carrier rate for the service used. Because we ship in volume across many carriers, our rates are competitive and your invoices show exactly what each shipment cost.

Can my customers track their orders?

Yes. Tracking numbers are passed back to your store or marketplace as soon as an order is dispatched, so customers get the same notifications they would if you shipped it yourself.

Returns

How returned items are handled and recorded.

How do you handle returns?

Returned parcels come back to our warehouse, where the team inspects and photographs every item. Stock in good condition is booked straight back into inventory; anything damaged or worn is set aside and the outcome is recorded against the original order so you can see exactly what came back and why.

Do you offer prepaid returns labels?

Yes. We can set up prepaid returns options so your customers have an easy way to send items back, which usually means fewer support emails for you.

How are returns charged?

Returns are charged per return, covering the inspection, photographs and restocking. There are no other fees for handling them.

Systems and integrations

Connecting your store and keeping sight of your stock.

Which platforms do you integrate with?

Our fulfilment system connects directly with Shopify, WooCommerce, Amazon, eBay, Etsy and Magento, and can be linked to many other platforms and marketplaces. If you sell through a channel that is not listed, ask us and we will check.

Can I see my stock and orders in real time?

Yes. You get access to our order management system with live stock levels, order status and dispatch history, so you can see exactly what is on the shelf and what has gone out without emailing us to ask.

What system do you run the warehouse on?

We run on Mintsoft, a warehouse management system built for fulfilment. It handles your sales channel connections, stock locations, picking, carrier labels and reporting, and it is the same system your team logs into.

Can I sell through several channels from one stock pool?

Yes. Your website, marketplaces and wholesale orders all draw on the same inventory, so stock levels stay accurate everywhere and you are not holding separate stock for each channel.

Do you train my team on the system?

We do. System access, your channel connections and training for your team are all covered by the weekly systems fee, so there is nothing extra to pay for getting your people up to speed.

Pricing and billing

What you pay for and how it appears on your invoice.

How does your pricing work?

Charges are broken into simple categories: goods in (by time), storage (per cubic metre), pick and pack (per item, per order), packaging (per item), shipping (per shipment), a weekly systems fee, returns (per return) and kitting (per project). Every invoice is itemised so you can see exactly how each order was charged. The pricing page explains each one.

Are there any hidden fees?

No. You only pay for what you use, and every charge appears on a detailed invoice. There are no setup fees hidden in the small print.

Does it get cheaper as I grow?

Yes. The first-item pick and pack fee comes down as your order volumes rise, and every extra item in an order costs less than the first. Growing brands see their cost per order fall rather than climb.

How do I get a quote?

Fill in the Get started form with your products and volumes and we will come back with pricing tailored to your business. If you would rather talk it through, request a callback and one of the team will ring you.

  • From the start, working with the TDS team has been a fantastic experience for Easilocks. Their customer support is consistently responsive, reliable and helpful, giving us full confidence that our orders and customers are in safe hands.

A major advantage for us is their customs-free access to the UK. This has made fulfilment much simpler and more efficient, allowing us to serve our UK customers without cross-border shipping complications. When system or integration issues arise, it is reassuring to work with a team that understands the technical side and resolves problems quickly.

Moving to a new fulfilment partner felt like a big step, but Conor, Gary and the rest of the team at TDS made the transition remarkably smooth through clear communication and steady support. We are extremely happy with our partnership and highly recommend TDS to any growing e-commerce brand looking for a reliable fulfilment partner.

What stands out about TDS is the quality of their systems and their people. From the office team, who are always friendly, responsive and ready to help, to the logistics and warehouse management team, who ensure everything runs smoothly and efficiently, the level of service across the whole company is excellent. Every member of staff we deal with is professional, approachable and genuinely committed to finding solutions. We see TDS not simply as our logistics provider, but as a trusted partner and an extension of our own team.

  • We have been customers of The Distribution Solution for nearly 20 years. Over that time, they have looked after our storage, stock management, order fulfilment, packing and dispatch, which has been a big part of supporting our lighting business.

Everyone we deal with in the TDS team is helpful and reliable, and we appreciate the support they have given us over the years. It's important to have a good working relationship with the people looking after your stock and orders, as this allows us to concentrate on our customers. We look forward to continuing our relationship for many more years to come.

They provide an efficient and reliable service, and it's clear they genuinely care about supporting their customers. We're very happy with the service they provide and would gladly recommend them.

  • TDS has helped me to no end. I used to run my own warehouse with all the bells and whistles — rent, rates, electric, water, racking, forklifts, leaks in the roof, busted doors, overflowing toilets and even rats! On top of all that, I had to be on site every day, and I mean every single day.

Since closing my warehouse and moving to TDS, I work from home, work fewer hours and have so much more freedom. Best of all, when everything is taken into account, it costs me roughly the same as running the warehouse myself.

The staff at TDS helped me every step of the way when I was moving to a 3PL system. Moving your entire warehouse operation to someone else is a big step, but I genuinely couldn’t have asked for a more helpful team.

One thing I’ve learned is that warehouse operations are a job in themselves. If warehousing isn’t the core of your business, my advice is simple: get a good 3PL and concentrate on growing your business instead.
